Summary

In 2006, E&Y initiated the eDocs initiative, an ECM project in CWEA (Central Western European Area with pilot countries Belgium, Luxemburg and Spain), US, and Oceania. E&Y collaborates with Cronos to implement the project in Documentum.

Case

Tax consultants at E&Y managed case files in with traditional cumbersome e-mail and file systems, which E&Y decided to streamline by introducing a document management platform, eDocs. Objectives of the initiative:

  • Centralize all customer-related documents
  • Facilitate (authorized) retrieval of relevant documents
  • Develop a knowledge base
  • Compliance (with internal and external regulations)

Solution

At the core of eDocs is the engagement, the contract between E&Y and the customer. All tax-related documents from the customer or E&Y are related to an engagement in Documentum.

We integrated the Documentum environment with an existing business application containing engagement metadata, insuring consistency of metadata in both systems and faciltating the classification of documents: users simply need to identify document type and engagement for classification.

Security is applied at engagement level, to keep the access model manageable. User authentication and permissions are managed through an integration with Active Directory.

We customized the standard Documentum web client (Webtop) to facilitate the navigation through thousands of engagement folders. To lower the barrier for storing new documents in Documentum, we configured the standard integration with Microsoft Office and the Lotus Notes Connector to store mails in engagements.
